Scattered spreadsheets and shared drives fail because every module invents its own version of the person. An HRMS does not remove HR judgement — it gives joiners, transfers, and leavers one place to update so downstream modules inherit the change.

When someone leaves, mark the exit so active lists and payroll runs stay honest. Self-service may let employees view payslips or apply for leave, but HR still owns master data quality.

Role-based access limits who can view salary fields, edit documents, or approve changes. Organization structure — departments and reporting lines — helps managers see their team without exporting the whole company. Headcount and directory reports read the same file; they are only as accurate as the records HR maintains.

Why centralized records beat scattered files

Shared workbooks drift. WhatsApp photos of CNICs do not scale. Biometric devices map punches to employee codes — if the code is wrong, payroll disputes follow. A single HRMS employee file gives auditors and managers a consistent starting point. Migration from Excel is a project: clean the directory first, then turn on time and pay modules.

Records management is not recruitment
